OMC Update, April 25, 2020
Hello OMC Members,
We will have a short (1 hour max) OMC Zoom Meeting on Thursday, April 30, 2020 at 7:00pm. Check your email for the link and information (email from [email protected]). Main purpose is for updates and any questions you might have.
In preparation for the meeting, I have posted several documents below, including the financial statements through March 2020 ("camp-balance" and "camp-income"). Best financial position through March since 2012, which is very helpful. As soon as possible, I will try to compile and post our "usual" Excel document showing comparison line by line to previous years and budget. (UPDATE: I have posted the income/expense comparisons below!)
Other documents below include guidance for planning and decision making. We (me, Jenna, Wes, Mickey, Spencer) meet and update daily about what's possible and what has changed. With the information we have NOW, we have a summer camp plan that begins two weeks later that originally planned. See our schedule and what we are communicating to the public HERE at our COVID19 Summer Camp Information page. And you can view our Flow Chart of "If-Then" scenarios HERE at our Coordinators Updates page.
We know that our plans are likely to change, and we know that it is possible we will not be able to hold in-person summer camps. BUT, by staying informed and connected to DOZENS of professional camping organizations and connections (ACA, OMA, VaCRLG, UMCRM, PCCCA, etc.) we are able to monitor and evaluate best practices for decision making. We will wait as long as possible to make alterations to camp, and we await CDC guidance for summer camp operations. May 15 is a likely date for "go or no go" decision making. See the "04.28.2020_RevisedOptionsAndImpact..." image below for our contingency plans. Public rollout of the new summer schedule is slated for Friday, April 24, (but it happened over 3 days, April 25-27).
We successfully pivoted Sounds of the Mountains into Sounds of the Mountains "At Home" Storytelling Festival videos. It was a mammoth amount of last-minute video/computer work, but we made it happen. All sponsors stayed with us, and donations continue to trickle in. See the report below.
It hasn't been easy to take a deep dive into financial predictions. According to David Shumate at the April 8 District Board Executive Committee Zoom meeting, "Camp has enough money to make payroll through June." At that April 8 meeting, we inquired whether the Virlina District (for camp staff and district office staff) would investigate PPP loans which are available to us even though we are a faith-based organization/church. The DBExec Committee agreed to allow David to research with the help of Rob Cassell, and information was sent to David on April 9. It was well known that we needed to immediately submit the PPP application due to the quickly diminishing availability of the funds. Our new bank (First Citizens) provided information on April 14-15. On April 23, Kathie Robinson (Virlina District Treasurer) and David submitted the application to First Citizens Bank, hopefully in time to be granted this final round of funding to retain staff beyond June. Please refer to the "PPPLoans_OtherCamps" document below to see how we compare. District Board will have a called meeting via Zoom at 3:00pm on April 25 to approve (or not) the PPP since it is technically a loan that then becomes a grant (loan forgiven) if the funds are used correctly (75% or more for payroll and 25% or less for utilities). UPDATE: THE VIRLINA DISTRICT BOARD VOTED "YES" UNANIMOUSLY.

District Board will have a called meeting via Zoom at 3:00pm on April 25 to approve (or not) the PPP since it is technically a loan that then becomes a grant (loan forgiven) if the funds are used correctly (75% or more for payroll and 25% or less for utilities). UPDATE: THE VIRLINA DISTRICT BOARD VOTED "YES" UNANIMOUSLY.

OMC Update, April 7, 2020
Hello OMC,
Here's an update from Camp Bethel.
All groups and activities at Camp Bethel are either cancelled or on hold through June 10, including school groups (KinderCritters and Your Outdoor Classroom), Guest Groups and Weddings, Spring Workday, and Memorial Day Family Weekend. Guest Groups have the option to forward their deposit to later in 2020-2021-2022, to donate their deposit, or to receive a full refund.
We have shut off electricity and propane to most facilities. We've cut our trash pickup in half. We're not ordering any food or cleaning supplies, and we're not driving as much. Not spending money except necessities and designated projects already in process. Will likely further delay construction on the RV Village and expanded septic field (had planned to begin in late August). The camp office is closed except for essential personnel, but we are keeping regular office hours (M-F 9-12, 1-5).
Probable (but not absolute) Summer Camp plan might be to begin camps two weeks later. First camper week would be June 21 (not June 7), and Staff Training would be 5 days of on-line training/videos, then in-person training from June 11-19. Instead of having Weeks 1 through 7, we would have Weeks 3 through 8 (only six total weeks of programming). Camp Kesem cancelled for July 19-24, 2020, (they will return in 2021), which is our Week 7. This enables us to move programs scheduled during Weeks 1 and 2 into Weeks 7 and 8. This plan compresses the summer by 1 week total, which also reduces summer payroll. Camper Families who must cancel can forward their payments to other 2020 camps or to 2021 camps, or can donate, or can receive full refund.
Jenna, Spencer, and Wes are planning creative ways to connect with our campers and camper families during April and May via social media and "virtual" programming.
For now, William Byrd HS Band Camp (July 26-Aug 1), Faith Fellowship Children's Camp (Aug 2-5), and Salem HS Band Camp (Aug 9-15) are still on as scheduled. All groups scheduled July and later are still on as scheduled.
The website showing predicted peak data for COVID19 is https://covid19.healthdata.org/united-states-of-america/virginia. This data originally showed Virginia peaking on May 20 (ending July 16), but now shows Virginia peaking on April 20 (ending June 5). Hopeful data, but Governor Northam says we can't put too much stock into these predictions.
Sounds of the Mountains Info: April 3-4 would normally have been our Sounds of the Mountains Storytelling Festival, a BIG fundraiser for Camp Bethel, accounting for $47,497 in 2012 and involving over 100 volunteers! Alas, what to do? The storytellers submitted video "sets" (via shared Google Drive folder) and Barry assembled five FREE one-hour shows posted on line for families to enjoy at home. Each video and the descriptions/links encourage donations for Camp Bethel and/or "tips" for the performers. As of 11:00am April 7, the videos have 1,300+ views and we've netted $6,142 in gifts and donated ticket purchases thus far. 100% of our festival sponsors stayed with us, which is another $21,150. The Sounds of the Mountains "At-Home" Storytelling Festival is available for you at www.SoundsoftheMountains.org/watch. Please share with your friends and churches! She gets a percentage of the school group fees and a percentage of the ACA (Canoe) course fees. Since all these groups have cancelled through June, she is not getting anything. But she should be OK; her husband Steve is a teacher at RMMS, so they have income.
We currently employ 4 full-time salaried persons (Barry, Jenna, Mickey, Wes) and 5 regular hourly employees (Melissa Browning = housekeeping; Spencer Knox = 2020 summer camp coordinator; Jakob Nipper = summer camp prep & maintenance; George Shockley = maintenance asst.; Christian Sullivan = maintenance asst.). I want to retain all these employees for as long as possible, because there is always more work to be done than time to do it. I will continue to study the income/expense comparisons and projections, and I will get updated March data on April 8 in order to make better comparisons.

SECOND, and I apologize for not sending this to you sooner, our March 28 OMC Meeting is postponed until June 23. March 28 Spring Volunteer Workday postponed until May 2.
NEXT: I'm posting updates at our website, www.CampBethelVirginia.org, and I have even created a COVID-19 page for folks to find quick info about how this affects their time here. This page is NOT intended to be a clearinghouse resource for information. It's just about Camp Bethel. I have not yet finalized our "Summer Camps" or "Guest Groups" info to post yet. More on that below.
Sounds of the Mountains "At-Home" Storytelling Festival will be an on-line "show" fundraiser for Camp Bethel available beginning April 4 to watch any time at www.SoundsoftheMountains.org. Our tellers will send video sets, and I will compile and create FIVE fun hour-long “shows” to post at SoundsoftheMountains.org via CampBethelVirginia’s YouTube channel. We can't gather, but we can laugh and sing!
We labeled and mailed 3,087 new postcards this morning, so those should arrive in mailboxes tomorrow through Monday-Tuesday (see previously attached postcard PDF).
39 out of 45 ticket holders have donated their entire fee to us, and only 6 requesting refunds. The revised SOTM website (SoundsoftheMountains.org) has already generated $430 in donations. SOTM eNews sent on 03.25.2020 to 675 subscribers and Camp Bethel eNews (including new SOTM info) sent on 03.25.2020 to 5,276 subscribers. Plus Facebook posts and a Facebook event to promote the on-line "At-Home" Festival.
Starting March 20, most all of our Guest Groups have cancelled through May. We've also lost a few June day groups, and we lost Camp Kesem (July 19-25) until next year. I am gathering the data needed to analyze the impacts on our income AND our expenses, and I'll be able to report on this in the coming weeks.
We are in "WAIT AND SEE" mode about whether we will be able to hold summer camps. We are preparing as if summer camps are ON AS SCHEDULED, but also ready to plan if a condensed/later schedule is needed, OR if camps are not possible. Our Staff Training begins May 25, so we are working backward from there as we wait for news or updates on CDC & VDH (Va Dept of Health) requirements. Again, for now, we will wait and see. As of March 26, 2020, we have 248 campers registered for summer camps, compared to 209 campers on this date in 2019.
For 2020, and until things return to "normal/safe", Guest Groups who must cancel can forward their deposit to a rescheduled event in 2020-2021-or-2020, OR they can donate part-or-all of their deposit, OR they can receive a full refund. This information will be provided to each group individually, but will take some time as I have to look ahead to potential rescheduling dates and availability. Fall is already booked solid, which is both good and bad in this scenario.
Cancellation information about summer camp payments is coming soon in an effort to reassure families that they can register without any risk of losing money if we must cancel.
Me, Jenna, and Spencer are keeping "social-distanced" daily office hours, Mon-Fri 9:00-5:00, but our office is closed to guests and open to essential personnel only. Wes comes regularly and has been helping with a little bit of everything in the absence of groups with meal services. Mickey and his team continue to work on grounds and facilities, and they are able to work individually apart from each other. No one has tried to rob us of our toilet paper, probably because... have you ever used our camp toilet paper? You understand why no one wants to steal it. Ha ha.
We have the camp "closed" to vehicles with the gates shut, but... IF you can isolate in your car and NOT impact other people (home-to-car-to-camp and back), we welcome individual or family "social distance-able" Cyclists, Hikers, and Walkers to explore our isolated trails and forests. Gates are closed, so park in the "Front Creekside" grass area, get a trail map from the office porch, and do not enter any facilities. MANY families are coming for social-distance-able hiking and biking!
We are hopeful that things calm down soon and that we can weather the financial impact. Building our reserve in 2019 is proving to be a great blessing. HOWEVER, if circumstances worsen and if we are unable to hold summer camps, we should base any personnel decisions on MATH. (How much do we have? How much can we project we will receive? What fundraising and alternate income can we add? What will our expenses continue to be?)
OMC Chair Sam Foster and I have talked by phone several times, and we both participated in the Virlina District Board Executive Committee meeting via Zoom call on March 24. I am part of the Virlina District Pandemic Response Team which met via Zoom call on March 21. IF Camp and/or Virlina District face drastic challenges in the coming weeks, we may choose to hold a Zoom meeting or conference call for OMC, and we will inform you of any decision to do so.

I am VERY VERY sorry to have made the last-minute change of our budget meeting date without considering the impact it would have on everyone's previously planned schedules. I apologize for causing frustration. As it turns out, most of you would have been able to attend on Friday, August 23, and many would NOT be able to attend on Saturday, August 24.
In order to secure a quorum and to allow maximum participation, we will move the meeting BACK to Friday, August 23, but at CAMP BETHEL (Ark Conference Room) and NOT at the DRC. 6:00pm OMEC and 7:00pm OMC at the DRC (2020 budget meeting) in the Ark Conference Room.
Again, I am VERY sorry to send so many switches and changes... Not my best moment.
For those who had responded saying they couldn't attend on Saturday, I hope you can now attend on Friday as originally planned (except we will meet here at Camp Bethel). OMC Meeting CANCELLED March 24, 2018
Mercy, mercy... will spring ever come? The UNpredictability and timing of tomorrow's expected regional snow/sleet is prompting worries about getting home safely from our planned 3:00pm OMC meeting. We also had a group cancel their weekend lodging plans at Camp Bethel...
So, our meeting on March 24 is CANCELLED. Next scheduled meeting is Tuesday, June 19 at 5:30pm (dinner with campers) and 6:00pm meeting. PLEASE EMAIL BACK TO CONFIRM YOU RECEIVED THIS MESSAGE. I have NOT received any news about whether First Church's Chili Cook-Off is cancelled or not.

FEBRUARY 3, 2018 MEETING CANCELLED, RESCHEDULED to March 24.
Dear OMC,
Due to multiple circumstances, we must CANCEL our meetings on February 3 and April 7. In place of these two meetings, OMC will meet on Saturday, March 24 at 3:00pm at (Roanoke) First Church of the Brethren, 2001 Carroll Ave, Roanoke VA 24017.
One positive is that on March 24, First Church is holding their annual Chili Cook-off and Cake/Pie Bake-off at 5:00pm, directly following our 3:00 meeting at First Church. This is a FREE dinner (donations encouraged/expected) and raises funds for their church kids to attend Camp.
Other 2018 scheduled OMC meetings are listed below, and I hope you can attend as many as possible. Between now and March 24, I will send periodic updates and information. As is customary, I will email OMC prior to meetings, and I will update our "hidden" OMC web site with documents, etc., www.CampBethelVirginia.org/OMC. Also, I hope each of you receives (and reads) our occasional eNews: www.CampBethelVirginia.org/news.

Items and Documents for the OMC Reorganization on Saturday, November 12, 2016:
9:15am Order of the Day: Presentation of the Ballot (4 candidates for 2 OMC positions).
12:00pm lunch and Reorganization (room # TBA). If you reserved a lunch, it will be waiting for you in that room.
1:35pm Camp Director and OMC Reports. Camp Director report to DC is below.
On November 12, we will elect officers and divide into our sub-committees: Finance, Program, and Property. Please read the detailed "OMC 2017 Responsibilities" document below to be fully prepared for what you are expected to do when serving on OMC in 2017.
FYI, the "Safety Fifteen Passenger Van Policy..." document is for your information only. We will be reviewing this document at our February 11 meeting in order to make any additions or corrections necessary for safe and reasonable implementation at Camp Bethel.
